Privacy Policy
The Reply Practice is designed to work with anonymised customer communication and collect as little personal information as practical. This policy explains what we collect and how it is handled.
What we collect
When you submit an enquiry, we collect your first name, business name, work email, information about your service and the answers you provide. A free check also includes the anonymised customer message and business reply you paste. Technical security information, such as a one-way identifier derived from the connection used to submit the form, may be processed to prevent spam and excessive submissions.
Do not send us
Remove customer names, contact details, account or order numbers, signatures and other identifying information before submitting material. Do not submit sensitive information or legal, clinical, financial, employment, safety, crisis, active-dispute or other high-risk content. Automated screening may block common identifiers, but it cannot detect everything.

- To protect the service from spam, misuse and security incidents
- To maintain necessary business and legal records
We do not sell your information or use submitted customer conversations for advertising.
Storage, access and service providers
Submissions are stored in a private enquiry queue with access restricted to the service owner. Technology providers may process or store information on our behalf, including from locations outside Australia. We limit access to what is needed to operate and protect the service.
Retention
We keep enquiry and client information only for as long as reasonably needed to assess the enquiry, provide the service, maintain necessary records, resolve issues and meet legal obligations. Material that is no longer needed is deleted or de-identified where practical. You can ask us to delete your enquiry; some records may need to be retained where required by law or for an unresolved dispute.
Access, correction and privacy requests
You may ask what personal information we hold about you, request a correction or make a deletion or privacy complaint. Use the secure enquiry form on the website, choose either path, and begin the first open-text answer with “Privacy request”. Include only the information needed for us to identify your enquiry.
